The hair and makeup team that needed a 7am bridal suite access that nobody on the venue's side knew about until 7:02am.
Every one of these is a Saturday scramble. Every one of these gets recorded by the couple as "the venue was a little disorganized." None of them, technically, are the venue's fault. - Specialty vendors — live painter, photo booth operator, cigar roller, late-night food truck, sparkler exit coordinator.
Each of these vendors has their own arrival window, their own load-in needs, their own setup requirements, their own contact person, and — critically — their own assumed mental model of how your venue works. That mental model is built from whatever the couple told them, whatever they pulled from your website, and whatever past venues they've worked in. None of it is built from your venue's actual operational protocol.

1. The arrival-window collision
The florist is arriving at 9am to hang the ceremony arch. The hair and makeup team is also arriving at 9am, parked in the same circle drive. The DJ pulls up at 9:15 with a full truck and finds both vehicles already there. - The BEO is built for catering, not for vendors. Most banquet event orders list the couple, the package, the headcount, the dietary flags, and the run-of-show. - The couple is asked for their vendor list once, late. Most venues ask for it at T-30 as part of the final-details meeting. The pre-event vendor sweep — five moves
Five moves. None of them ask the couple to do new work, and none of them require buying anything the venue doesn't already have.
1. The T-90 vendor baseline
Ninety days before the wedding, the venue asks the couple for the current full vendor list — every outside vendor, with contact name, email, phone, and arrival window. Not "who's doing flowers?" Instead: "Confirm or update each line. Anything new or changed since the last update?" Most couples can complete this in five minutes from their own planning folder. The venue now has a live roster.

The output is a roster the day-of coordinator can print on Friday afternoon and walk the building with on Saturday morning.
4. The day-of vendor traffic plan
Twenty-four hours before the wedding, the venue's facilities lead opens the roster and overlays it onto a single traffic plan: who arrives when, at which door, with which support (cart, dolly, elevator hold, key access). This is the document the morning crew is briefed off. The parking collision, the access scramble, the cigar-roller deck conflict — all caught here, not on-site.
5. The shutdown choreography
Sixty minutes before the end of the reception, the venue's closing lead runs the same overlay in reverse: who loads out when, at which door, with what window. The band goes first because their gear is heaviest. The florist's pickup is staged at the side door. The exit sparkler vendor has the porte cochère for 15 minutes flat. The choreography exists because someone planned it Tuesday, not because someone is improvising at 11pm.
